Event Participation & Sponsorship Terms
Effective Date: 15 February 2026
These Event Participation & Sponsorship Terms (“Terms”) apply to all individuals and entities participating in any conference, exhibition, summit, or forum organized by Energia Middle East (“Energia,” “we,” “our,” or “us”), including sponsors, exhibitors, delegates, speakers, partners, and visitors.
By registering for, sponsoring, exhibiting at, attending, or otherwise participating in any Energia event (“Event”), you agree to these Terms.

Registration & Participation
Registration or sponsorship is confirmed only upon written confirmation and receipt of applicable fees unless otherwise agreed.
Energia reserves the right to refuse or cancel any registration or sponsorship at its discretion.
Access credentials (including badges) remain the property of Energia and may be revoked for breach of these Terms
Fees & Payment
All fees are exclusive of VAT and other applicable taxes unless stated otherwise.
Payment must be made within the timeframe specified in the invoice or confirmation.
In the event of payment default:
- A penalty charge of USD 500 shall be applied.
• In addition, a late payment charge of 5% of the total outstanding amount shall apply for each month the Sponsor remains in default.
These amounts represent agreed compensation for administrative and financial impact resulting from delayed payment and are not intended to operate as a penalty.
If a participant fails to make any payment or otherwise breaches these Terms, and fails to cure such breach within a reasonable time after receiving written notice specifying the breach, Energia shall have the right, without further notice, to exercise one or more of the following remedies:
(i) cancel participation in whole or in part;
(ii) suspend or revoke access credentials;
(iii) evict the Sponsor from any allocated exhibition space;
(iv) specifically enforce any provision of these Terms; and/or
(v) exercise any other remedy available under applicable law.
For purposes of this Section, “reasonable time” means:
- immediately, in the case of any breach occurring during the Event;
• twenty-four (24) hours, in the case of any failed payment;
• five (5) days, in the case of any other breach.
Energia may retain any and all monies received as liquidated damages, it being understood that Energia’s losses and damages resulting from such breach are difficult to ascertain and that such liquidated damages are agreed as a reasonable pre-estimate of loss and are not intended to operate as a penalty.
Sponsors remain liable for the full contracted amount regardless of reallocation of space.
Cancellations
All cancellation requests must be submitted in writing.
Unless otherwise agreed in writing:
- Payments are non-refundable.
- No refunds will be issued for no-shows.
- Visa refusal, travel disruption, or inability to attend does not entitle participants to a refund.
Energia may, at its sole discretion, offer credit toward a future event.
Exhibition Booths & Sponsor Conduct
Exhibition booths must not obstruct or interfere with other exhibitors.
Custom displays must receive prior written approval.
Sponsors must staff booths with appropriately qualified personnel during exhibition hours.
Distribution of materials outside allocated space without approval is prohibited.
Photography or recording of other booths without permission is prohibited.
Energia reserves the right to modify or remove any exhibit that detracts from the character or integrity of the Event.
Unoccupied space on opening day may be reassigned without refund.
Anyone visiting, viewing, or otherwise participating in a Sponsor’s booth or exhibit shall be deemed to be the invitee, licensee, or guest of the Sponsor, and not of Energia.
Upon cancellation or eviction, Energia may, without prejudice to any other available remedy, reassign or re-rent the allocated space to another sponsor or use such space in any manner deemed appropriate, without any obligation to the original Sponsor.
Code of Conduct
Participants must maintain professional and respectful conduct.
Energia may remove any individual whose behavior is disruptive, unsafe, unlawful, or inconsistent with the professional nature of the Event.
Removal does not entitle the participant to a refund.
Intellectual Property
All Event materials, branding, program content, and media remain the property of Energia or the respective content owner.
Participants may not record, reproduce, distribute, or publish Event content without prior written consent.
Sponsors grant Energia a limited, non-exclusive license to use their name and logo for Event-related promotional purposes.
Sponsors warrant that they have the right to use and display all materials exhibited.
Insurance
Sponsors and exhibitors are responsible for maintaining adequate insurance coverage for their participation, including public liability insurance where applicable.
Energia shall be named as an additional insured under such policy.
Insurance must include coverage for Sponsor’s contractual indemnity obligations under these Terms.
The Sponsor’s insurer must confirm that such insurance cannot be cancelled, materially altered, or reduced without at least thirty (30) days’ prior written notice to Energia.
Energia may request proof of insurance, and Sponsors shall provide a certificate of insurance verifying that required coverage is in force for the duration of the Event.
Participants may not record, reproduce, distribute, or publish Event content without prior written consent.
Sponsors grant Energia a limited, non-exclusive license to use their name and logo for Event-related promotional purposes.
Sponsors warrant that they have the right to use and display all materials exhibited.
Liability & Indemnity
Participation in the Event is at the participant’s own risk.
To the fullest extent permitted under UAE law:
Energia shall not be liable for indirect, incidental, special, or consequential damages, including loss of profit, business interruption, or reputational harm.
Energia’s total aggregate liability arising out of or relating to participation in an Event shall not exceed the total fees paid by the participant.
Sponsors and exhibitors agree to indemnify and hold harmless Energia, the venue, and affiliated parties from claims arising from their activities, personnel, negligence, or breach of these Terms.
Energia is not responsible for loss, theft, or damage to personal property.
Energia shall be named as an additional insured under such policy.

Force Majeure
Energia shall not be liable for failure or delay in performance due to events beyond its reasonable control, including but not limited to:
- Government restrictions
• Travel bans
• Regulatory changes
• Natural disasters
• Civil unrest
• Public health emergencies
• Venue unavailability
Energia may postpone, relocate, rename, reschedule within thirty (30) days, or convert the Event format without refund.
If cancellation occurs due to force majeure, Energia may retain reasonable amounts to cover committed costs and expenses.
Data Protection
Personal data collected in connection with Event participation will be processed in accordance with Energia’s Privacy Policy.
Attendee data shared with sponsors is provided for legitimate business purposes only.
Sponsors and exhibitors must comply with applicable data protection laws when processing such data.
Health & Safety
Participants must comply with all venue rules, public health regulations, and government requirements.
Failure to comply may result in removal without refund.
Taxes & Licenses
Sponsors and exhibitors are responsible for obtaining any required licenses, permits, or approvals and for paying all applicable taxes related to their activities.
Relationship of Parties
Nothing in these Terms creates a partnership, joint venture, or agency relationship between Energia and any participant.
Assignment
Participation rights may not be transferred or assigned without prior written consent from Energia.
Governing Law & Jurisdiction
These Terms shall be governed by and construed in accordance with the laws of the United Arab Emirates.
Any dispute arising out of or in connection with participation in an Event shall be subject to the exclusive jurisdiction of the competent courts of Dubai, United Arab Emirates.
The prevailing party shall be entitled to recover reasonable legal costs and court expenses.
Limitation Period
Any claim arising out of participation in an Event must be brought within twelve (12) months from the date of the Event.
Any dispute arising out of or in connection with participation in an Event shall be subject to the exclusive jurisdiction of the competent courts of Dubai, United Arab Emirates.
The prevailing party shall be entitled to recover reasonable legal costs and court expenses.
Amendments
Energia may update these Terms from time to time. Updated Terms will be published on this page with a revised effective date.
Severability
Entire Understanding
These Terms constitute the entire understanding governing participation in Energia Events and supersede prior communications relating to participation.
